JULY Marketing Inc. ("JULY", "we", "us") is the data controller for personal information collected through Convey AI Pro. We are subject to BC's Personal Information Protection Act (PIPA) and Canada's federal privacy laws.
We collect: (a) Account information - name, email, phone, BCFSA licence number, role; (b) Transaction data - property addresses, deal details, party names, financial figures, documents uploaded; (c) Usage data - login times, IP addresses, actions taken within the Platform; (d) Payment information - processed securely via Helcim (we do not store card numbers).
We use your information to: provide and operate the Platform; perform AI-assisted compliance reviews; send transactional emails and notifications; comply with legal obligations including BCFSA record retention (7 years) and FINTRAC requirements (5 years); improve the Platform; and respond to your support requests.
All personal and transaction data is stored exclusively on Canadian servers (Supabase, ca-central-1 region - Canada) in compliance with BCFSA data residency requirements. We do not transfer your data outside of Canada.
We do not sell your personal information. We share data only: (a) with service providers necessary to operate the Platform (Supabase, Brevo, Twilio, Signwell, Google Drive) under data processing agreements; (b) as required by law, court order, or regulatory authority; (c) with your explicit consent. All third-party providers are contractually bound to protect your data.
Documents uploaded to the Platform are processed by Convey AI Pro (Anthropic) for compliance review purposes. Anthropic processes data under strict confidentiality obligations. Documents are not used to train AI models. AI-generated reviews are provided as assistance only and do not constitute legal or compliance advice.
Transaction records are retained for 7 years as required by BCFSA. FINTRAC records are retained for 5 years. Account data is retained for the duration of your subscription plus the applicable legal retention period. After retention periods expire, data is securely deleted.
We implement industry-standard security measures including: TLS encryption in transit; AES-256 encryption at rest; SHA-256 document hashing; mandatory two-factor authentication; immutable audit logs; IP logging; session timeouts; and role-based access controls.
Under PIPA, you have the right to: access your personal information; correct inaccurate information; withdraw consent (subject to legal obligations); and make a complaint to the BC Information and Privacy Commissioner. To exercise these rights, contact us at privacy@conveyaipro.com.
The Platform uses only essential session cookies required for authentication. We do not use advertising or tracking cookies.
We may update this Privacy Policy from time to time. Material changes will be communicated via email. Continued use of the Platform constitutes acceptance.
